AI Note Taker That Works With Zoom and Teams | Brieflee

What an AI Note Taker That Works With Zoom and Teams Should Actually Do

Most teams do not meet in one place. A Tuesday can start with a Microsoft Teams stand-up, move to a Zoom call with a client, and end with a Google Meet review. An AI note taker that works with zoom and teams has to follow that reality rather than push everyone onto a single platform, and it has to hand back something a person can act on: who decided what, who owes what, and where the exact words were said.

Brieflee is built for that mixed calendar. It captures meetings across Microsoft Teams, Google Meet and Zoom, then writes up the summary, the decisions, the action items with owners and dates, and the full transcript in one place.

The output matters more than the transcript

A wall of text is not a deliverable. Four things make meeting notes usable weeks later:

  • A short summary of what the meeting was about and where it landed, in a few lines.
  • Decisions on their own lines, kept in a list you can search across all your meetings.
  • Action items as suggestions, each linked to the line in the transcript where it was said, with an owner and a due date.
  • A full transcript you can search, so anyone can check the exact wording instead of relying on memory.

How Capture Works on Microsoft Teams and on Zoom

The two platforms behave differently, and a note taker should be honest about that rather than pretend one method fits both.

On Microsoft Teams

Connect Google Calendar or Outlook and Brieflee joins the Teams meetings you choose, or paste a Teams link directly. The notetaker appears in the participant list and posts a short notice in the chat saying the call is being recorded and transcribed. If the meeting has a lobby, someone in the call chooses Admit.

On Zoom, two routes

The Zoom app. Find Brieflee in the Zoom App Marketplace and add it, then connect from Settings and Integrations. Inside the Zoom Workplace desktop app, the Brieflee panel (Apps, then Brieflee) sends the notetaker on your behalf and shows the meeting. The notetaker joins as a participant named Brieflee Notetaker, stays only while you are in the meeting, and leaves when you leave or the meeting ends. Zoom asks the host to allow recording, and nothing is captured until somebody chooses Allow. If there is a waiting room, the host or a co-host admits it from the participants list. Calendar auto-join retries every minute until 10 minutes after the start time, since Zoom will not let it in before the host has started. One detail worth knowing: the panel runs in the Zoom Workplace desktop app for Windows or macOS, and Zoom's web client has no Apps, though you can still be in the meeting from any Zoom app.

The desktop app. Where outside guests are not let in, the Brieflee desktop app for Windows and Mac records the call from your computer, both sides of the conversation, so no notetaker appears. Nothing has to be switched on in Zoom and it works on a free Zoom account too. Tell the people on the call that it is running.

Import. Existing material comes in as a meeting with the same write-up: a recording up to 100 MB, or a pdf, docx, txt or markdown document, or pasted text.

A Concrete Workflow: One Project Manager's Tuesday

Here is the same tool in daily use, across both platforms, without any theory.

Before the call

Ravi manages three client accounts. His calendar brief for the 10:00 Zoom call shows what was decided last time, what is still owed and the agenda left unfinished. He types the agenda, then drops the client's latest email and a PDF brief onto the meeting. What the email asked for is checked against what is actually said on the call, and nothing reads his mailbox.

During the call

The notetaker joins on his behalf and captures the discussion. With live coaching switched on in the panel, the transcript appears as people speak, with suggestions only he can see. Coaching uses coaching hours, and with it off, the transcript is written when the meeting ends, so the report takes a few minutes to appear.

Ten minutes after the call

The report lands in his Brieflee account. Action items arrive as suggestions with owners and due dates. He confirms the real ones, dismisses the rest, and sends two of them into Google Tasks. On the afternoon Teams call with the delivery team, he pushes three follow-ups to the deal in HubSpot under Push to CRM, after unticking the two he does not want to send.

Three weeks later

A colleague asks why a deadline moved. Ravi asks one question across all his meetings and jumps to the moment in the call where it was said. Filtering by client and project means he can ask about one account and Brieflee reads only that account's meetings.

Privacy and Permissions: What a Note Taker Should Not Touch

Access is where meeting tools earn or lose trust. Brieflee asks Zoom for the permissions it lists on Zoom's approval screen and no others. It does not read your Zoom contacts, chat, cloud recordings, calendar or account settings, it writes nothing to Zoom, and it changes no setting. Disconnecting in Brieflee does not remove the app from Zoom, so remove it there as well; Zoom then tells Brieflee, and the Zoom tokens and account details held for you are deleted at once.

Your Zoom profile and tokens are never sent to an AI provider. Meeting content is hosted in Frankfurt in the EU, and it is not used to train models on any plan. On every plan, including Free, recordings, transcripts, summaries and exports can be written to storage you already own: Amazon S3, Azure, Google Cloud, SFTP, OneDrive or Google Drive, encrypted in transit and at rest.

Plans and Your Next Step

You do not need a purchase order to test this on a real calendar. The Free plan includes 3 hours of meetings a month and 1 hour of coaching, with no card needed. Pro is $15 a month, or $12.75 a month billed yearly, with no yearly contract required. Enterprise is $18.40 a seat a month billed yearly, or $23 a seat month to month, and adds features such as formal board and committee minutes approved by the chair and downloaded as Word or PDF.

Brieflee handles 58 languages, including Arabic and Urdu, and you choose the language, so it is never guessed. Agenda, capture, report, follow-up and recall all sit in one place, whichever platform the meeting happens on.

Start by connecting Google Calendar or Outlook, or by installing the desktop app and running it on your next Zoom call. See how Brieflee works and try it free.

Frequently asked questions

Does this AI note taker work with both Zoom and Microsoft Teams?

Yes. Brieflee captures Microsoft Teams, Google Meet and Zoom meetings. On Teams a notetaker joins the meetings you choose through your calendar or a pasted link. On Zoom you can use the Brieflee app inside the Zoom desktop client so the notetaker joins on your behalf while you are in the meeting, or run the Windows and Mac desktop app, which records the call from your computer with no notetaker appearing.

Does a bot always have to join my calls?

No. Where guests are let in, a visible notetaker joins and posts a short notice in the meeting chat. Where they are not, the desktop app records the call from your machine with nothing joining, provided you tell the people on the call that it is running. You can also import an existing recording or document instead.

What do I get after each meeting?

A report in your Brieflee account containing a short summary, the decisions on their own lines in a searchable list, action items as suggestions with owners and due dates linked to the transcript line where each was said, and the full transcript. Confirmed action items can go to Google Tasks or be pushed to a deal in HubSpot.

Is my meeting data used to train AI models?

No. Meeting content is not used to train models on any plan. Servers, database and stored media are in Frankfurt in the EU, and you can route recordings, transcripts, summaries and exports into your own cloud storage on every plan, including the free one.

How much does it cost to start?

The Free plan includes 3 hours of meetings a month and 1 hour of coaching, with no card needed. Pro is $15 a month, or $12.75 a month billed yearly, with no yearly contract. Enterprise is $18.40 a seat a month billed yearly, or $23 a seat month to month.
