Setup guide
Connect HubSpot to Brieflee
Send the action items from a Brieflee meeting to a HubSpot deal as tasks, and the meeting summary to the same deal as a note.
What it does
After each meeting Brieflee writes a summary with action items. With HubSpot connected, you pick a deal and send those action items to it:
- Each action item you send becomes a HubSpot task, associated with the deal.
- The task is assigned to the HubSpot user whose email matches the email you sign in to Brieflee with. If no HubSpot user has that email, the task has no owner.
- The meeting summary can be added to the deal as a note.
- To do this, Brieflee reads your open deals, so you can pick one, and looks up the HubSpot owner with your email.
Brieflee only creates tasks and notes. It never changes or deletes a deal, a contact or anything else in HubSpot.
Requirements
- A Brieflee account. Sending to a CRM is included on every plan: Free, Pro and Enterprise.
- A HubSpot account with at least one open deal, and a HubSpot user who is allowed to connect apps to it (in HubSpot, a super admin or a user with App Marketplace access). For tasks to be assigned to you, that HubSpot user should have the same email address as your Brieflee account.
- A meeting in Brieflee with its summary: the action items come from the summary.
- A browser that allows pop-ups from app.brieflee.ai, or the Brieflee desktop app.
How to connect
- Sign in to Brieflee at app.brieflee.ai. No account yet? Start free.
- Open Settings, then Integrations, or go straight to Integrations.
- Under CRM and tasks, find the HubSpot card and choose Connect HubSpot.
- A HubSpot window opens (in the Brieflee desktop app, your web browser opens instead). Sign in to HubSpot if asked. If you belong to more than one HubSpot account, choose the one to connect. Read the permissions HubSpot lists (they are the ones under Data shared) and approve them.
- Back in Brieflee, the window closes by itself and the HubSpot card says Connected, with your HubSpot account number (Portal), the date you connected and when Brieflee last used the connection.
The connection is yours alone. It belongs to your Brieflee account, not to your workspace, and Brieflee works in HubSpot as the HubSpot user who approved it. Each teammate who wants to send tasks connects their own.
How to use it
Nothing goes to HubSpot until you choose to send it. Brieflee sends nothing when a meeting ends and does not sync in the background. Once a meeting’s summary is written, you can send its action items from two places.
From a meeting’s report
- In Brieflee, open Meetings and choose a meeting that has its summary.
- On the report, find Push to CRM and, in it, the HubSpot panel.
- Under Deal, search for the deal and pick it. The list shows up to 25 open deals; type part of a deal’s name to search for others. Deals in the closed won and closed lost stages of HubSpot’s default pipeline are left out.
- Untick any action item you do not want to send. They all start ticked.
- To add the summary too, leave Also attach the meeting summary as a Note on the deal ticked. Untick it to send the tasks alone.
- Choose the push button, which counts what you ticked (for example Push 3 tasks to HubSpot). Brieflee then lists what was created, what failed and what was already there.
From the Tasks page
- Open Tasks and choose Send to… on a task, or tick several and choose Send to….
- Pick HubSpot, then the deal, and choose Send to HubSpot.
The Tasks page sends the tasks only, never the summary note.
What arrives in HubSpot
Each action item you send becomes one task:
- Title: the action item.
- Body: the action item, then the meeting’s title, the person the summary named as its owner, and a Brieflee summary reference.
- Status Not started, type To-do, and the priority the summary gave it (High, Medium or Low; Medium if it gave none).
- Due date: read from the wording, such as “by Friday” or “in 3 days”; otherwise three days after you send it.
- Owner: the HubSpot user with your email, if there is one.
- Associated with the deal you picked.
The summary note, when ticked, holds the meeting’s title, its purpose, the takeaways and each section of the summary, and is associated with the same deal.
An action item already sent to the same deal is not sent twice: the result marks it Already there and offers to send it again.
Data shared
| Object | Direction | What exactly |
|---|---|---|
| Deals | HubSpot → Brieflee | Name, stage, pipeline, amount and close date of your open deals, to fill the deal picker. Read when a push panel or Send to lists deals, and as you search. |
| Owners | HubSpot → Brieflee | The HubSpot owner whose email matches your Brieflee email, looked up when you send. Only its ID is used, to assign the tasks. |
| Account | HubSpot → Brieflee | When you connect: your HubSpot account ID, its domain and the email of the HubSpot user who approved, to show which account is connected. |
| Tasks | Brieflee → HubSpot | One per action item you send: title, body, status, type, priority, due date, owner and the association with the deal. |
| Notes | Brieflee → HubSpot | One per send when the box is ticked: the meeting summary, associated with the deal. |
| Contacts | Neither | Not read and not written. See the permissions below. |
Permissions Brieflee asks for
HubSpot lists these on its approval screen. Brieflee asks for these and no others:
| Permission | What Brieflee uses it for |
|---|---|
crm.objects.deals.read | List and search your deals for the deal picker. |
crm.objects.deals.write | Associate the tasks and notes Brieflee creates with the deal you pick. Brieflee does not change a deal’s own details. |
crm.objects.contacts.read crm.objects.contacts.write | HubSpot gives apps access to tasks and notes through these two. Brieflee uses them only to create tasks and notes; it does not read or change your contacts. |
crm.objects.owners.read | Find the HubSpot user whose email matches yours, to assign the tasks. |
oauth | Required by HubSpot for every app that connects through OAuth. |
What Brieflee keeps
The HubSpot access tokens, encrypted on Brieflee’s servers; the account details above; and, with each meeting, a record of every send: the deal, which action items were sent and whether each was created. Brieflee never edits or deletes anything in HubSpot.
Disconnect and uninstall
In Brieflee
- Open Settings, then Integrations.
- On the HubSpot card, choose Disconnect.
Brieflee deletes the tokens it holds for your HubSpot account at once and can no longer read from or write to it. Deleting your Brieflee account does the same.
In HubSpot
Disconnecting in Brieflee does not remove Brieflee from HubSpot. To remove it there as well:
- In HubSpot, click the settings icon in the top bar.
- In the menu on the left, open Integrations, then Connected apps.
- Find Brieflee, open its Actions menu and choose Uninstall.
If you remove it in HubSpot first, Brieflee can no longer reach your account. Choose Disconnect in Brieflee too, so the card stops listing the connection.
What happens to the data
- Everything already sent stays in HubSpot. Brieflee does not delete it; delete it in HubSpot if you no longer want it.
- Your meetings, summaries and action items stay in Brieflee.
- The record of past sends stays with each meeting until you delete that meeting or your account.
- You can connect again at any time.
Troubleshooting
The tasks have no owner in HubSpot
Brieflee assigns a task to the HubSpot user whose email matches the email you sign in to Brieflee with. When none matches, HubSpot gets the task with no owner. Assign it in HubSpot, or use the same email address in both for future sends.
The deal I want is not in the list
The list shows up to 25 open deals. Type part of the deal’s name to search. Deals in the closed won and closed lost stages of the default pipeline never appear; reopen the deal in HubSpot first if you need to send to it.
HubSpot is not offered under Push to CRM
Push to CRM appears on a meeting’s report once the meeting has its summary. If Settings still says Connected but HubSpot is not offered there or in Send to, HubSpot no longer accepts Brieflee’s connection, for example because Brieflee was uninstalled in HubSpot. Open Settings, then Integrations, choose Disconnect on the HubSpot card, then Connect HubSpot again.
Connecting does not finish
If no HubSpot window opens, your browser blocked the pop-up: allow pop-ups for app.brieflee.ai and choose Connect HubSpot again. If you decline, or take longer than 10 minutes to approve, Brieflee connects nothing and says why at the top of the Integrations page; choose Connect HubSpot again.
