Connect Zoho CRM to Brieflee

Send the action items from a Brieflee meeting to a Zoho CRM deal as tasks, and the meeting summary to the same deal as a note.

What it does

After each meeting Brieflee writes a summary with action items. With Zoho CRM connected, you pick a deal and send those action items to it:

  • Each action item you send becomes a Zoho CRM task, linked to the deal.
  • The meeting summary can be added to the deal as a note.
  • To do this, Brieflee reads your deals, so you can pick one, and your own Zoho user and organization, to show which account is connected.

Brieflee only creates tasks and notes. It never changes or deletes a deal or any other Zoho CRM record.

Requirements

  • A Brieflee account. Sending to a CRM is included on every plan: Free, Pro and Enterprise.
  • A Zoho CRM account with at least one deal, and a Zoho user whose profile may view deals and create tasks and notes. You connect as that user, and Brieflee works in Zoho CRM as that user.
  • A meeting in Brieflee with its summary: the action items come from the summary.
  • A browser that allows pop-ups from app.brieflee.ai, or the Brieflee desktop app.

How to connect

  1. Sign in to Brieflee at app.brieflee.ai. No account yet? Start free.
  2. Open Settings, then Integrations, or go straight to Integrations.
  3. Under CRM and tasks, find the Zoho CRM card and choose Connect Zoho.
  4. A Zoho window opens (in the Brieflee desktop app, your web browser opens instead). Sign in to Zoho if asked. Read the permissions Zoho lists (they are the ones under Data shared) and accept them.
  5. Back in Brieflee, the window closes by itself and the Zoho CRM card says Connected, with your Zoho organization (Org), your email, your account’s Zoho API address and region, the date you connected and when Brieflee last used the connection.

The connection is yours alone. It belongs to your Brieflee account, not to your workspace, and Brieflee works in Zoho CRM as the Zoho user who approved it. Each teammate who wants to send tasks connects their own.

How to use it

Nothing goes to Zoho CRM until you choose to send it. Brieflee sends nothing when a meeting ends and does not sync in the background. Once a meeting’s summary is written, you can send its action items from two places.

From a meeting’s report

  1. In Brieflee, open Meetings and choose a meeting that has its summary.
  2. On the report, find Push to CRM and, in it, the Zoho panel.
  3. Under Deal, search for the deal and pick it. The list shows up to 25 deals, most recently changed first, each with its stage; type a word from a deal to search for others. Zoho has no list of open deals only, so closed deals appear too: check the stage before you pick.
  4. Untick any action item you do not want to send. They all start ticked.
  5. To add the summary too, leave Also attach the meeting summary as a Note on the deal ticked. Untick it to send the tasks alone.
  6. Choose the push button, which counts what you ticked (for example Push 3 tasks to Zoho). Brieflee then lists what was created, what failed and what was already there.

From the Tasks page

  1. Open Tasks and choose Send to… on a task, or tick several and choose Send to….
  2. Pick Zoho, then the deal, and choose Send to Zoho.

The Tasks page sends the tasks only, never the summary note.

What arrives in Zoho CRM

Each action item you send becomes one task:

  • Subject: the action item.
  • Description: the action item, then the meeting’s title, the person the summary named as its owner, and a Brieflee summary reference.
  • Status Not Started, and the priority the summary gave it (High, Normal or Low; Normal if it gave none).
  • Due date: read from the wording, such as “by Friday” or “in 3 days”; otherwise three days after you send it.
  • Linked to the deal you picked.

The summary note, when ticked, is titled “Meeting summary:” followed by the meeting’s title. It holds the purpose, the takeaways and each section of the summary as plain text, up to 32,000 characters, and is attached to the same deal.

An action item already sent to the same deal is not sent twice: the result marks it Already there and offers to send it again.

Permissions Brieflee asks for

Zoho lists these on its approval screen:

PermissionWhat Brieflee uses it for
ZohoCRM.modules.ALLZoho’s permission for CRM records. Brieflee uses it to read deals and to create tasks and notes, and for nothing else.
ZohoCRM.modules.tasks.ALLCreate the tasks you send.
ZohoCRM.modules.notes.ALLCreate the summary note when you tick the box.
ZohoCRM.users.READRead your own name and email.
ZohoCRM.org.READRead your organization’s ID and name.
ZohoCRM.settings.READAsked for with the others. No Brieflee feature reads your CRM settings.

What Brieflee keeps

The Zoho CRM access tokens, encrypted on Brieflee’s servers; the account details above; and, with each meeting, a record of every send: the deal, which action items were sent and whether each was created. Brieflee never edits or deletes anything in Zoho CRM.

Disconnect and uninstall

In Brieflee

  1. Open Settings, then Integrations.
  2. On the Zoho CRM card, choose Disconnect.

Brieflee deletes the tokens it holds for your Zoho CRM account at once and can no longer read from or write to it. Deleting your Brieflee account does the same.

In Zoho CRM

Disconnecting in Brieflee does not remove Brieflee from Zoho CRM. To remove it there as well:

  1. Sign in to your Zoho account page at accounts.zoho.com (or your region’s, such as accounts.zoho.eu).
  2. Open Sessions, then Connected apps.
  3. Find Brieflee and remove it.

If you remove it in Zoho CRM first, Brieflee can no longer reach your account. Choose Disconnect in Brieflee too, so the card stops listing the connection.

What happens to the data

  • Everything already sent stays in Zoho CRM. Brieflee does not delete it; delete it in Zoho CRM if you no longer want it.
  • Your meetings, summaries and action items stay in Brieflee.
  • The record of past sends stays with each meeting until you delete that meeting or your account.
  • You can connect again at any time.

Troubleshooting

The list shows closed deals, or not the one I want

Zoho has no list of open deals only, so Brieflee shows up to 25 deals of any stage, most recently changed first, each with its stage. Type a word from the deal to search, and check the stage before you pick.

Some tasks were not sent from the Tasks page

Only tasks that come from a meeting’s summary can be sent. A task you added by hand stays in Brieflee, and the result says how many were left out and why.

Zoho is not offered under Push to CRM

Push to CRM appears on a meeting’s report once the meeting has its summary. If Settings still says Connected but Zoho is not offered there or in Send to, Zoho CRM no longer accepts Brieflee’s connection, for example because Brieflee was uninstalled in Zoho CRM. Open Settings, then Integrations, choose Disconnect on the Zoho CRM card, then Connect Zoho again.

Connecting does not finish

If no Zoho window opens, your browser blocked the pop-up: allow pop-ups for app.brieflee.ai and choose Connect Zoho again. If you decline, or take longer than 10 minutes to approve, Brieflee connects nothing and says why at the top of the Integrations page; choose Connect Zoho again. If it says Zoho did not return a refresh token, remove Brieflee on your Zoho account page (see Disconnect and uninstall), then connect again.

Email support@brieflee.ai. Include the email address of your Brieflee account and, if a send went wrong, the meeting’s title and date and the deal you picked. The support page lists the other ways to reach us.
