Setup guide

Brieflee for Zoom

Add the Brieflee notetaker to your Zoom meetings and open Brieflee’s panel inside the Zoom app. Brieflee transcribes the meeting and writes the summary, the decisions and the action items, and with coaching on, suggests what to say while you are still on the call.

What it does

  • The Brieflee notetaker joins your Zoom meeting as a participant named Brieflee Notetaker, on your behalf, and captures what is said.
  • When the meeting ends, Brieflee writes a report in your Brieflee account: the summary, the decisions, the action items and the full transcript.
  • Inside the Zoom desktop app, the Brieflee panel (Apps, then Brieflee) sends the notetaker for you and shows the meeting. Switch coaching on there and the panel shows the transcript as people speak, with suggestions only you can see.
  • Brieflee does not read your Zoom contacts, chat, cloud recordings, calendar or account settings, and it never changes anything in your Zoom account.

Requirements

  • A Brieflee account on any plan: Free, Pro and Enterprise. The Free plan includes 3 hours of meetings a month and 1 hour of coaching.
  • A Zoom account, connected to Brieflee once (see Adding the app).
  • For the panel: the Zoom Workplace desktop app for Windows or macOS. Zoom’s web client has no Apps. Without the panel, you can be in the meeting from any Zoom app.
  • You are in the meeting yourself. Zoom lets the notetaker in on your behalf and only while you are there.
  • The meeting’s host allows the notetaker to record. Zoom asks the host when it joins.

Adding the app

From Brieflee

  1. Sign in to Brieflee at app.brieflee.ai. No account yet? Start free.
  2. Open Settings, then Integrations.
  3. On the Zoom card, choose Connect Zoom.
  4. A Zoom window opens. Sign in to Zoom if asked, read the permissions Zoom lists (they are the ones under Data shared) and choose Allow.
  5. Back in Brieflee, the window closes and the Zoom card says Connected, with your Zoom name.

From the Zoom App Marketplace

  1. Find Brieflee in the Zoom App Marketplace and choose Visit Site to Add.
  2. Brieflee’s Integrations page opens. Sign in to Brieflee, or start free if you have no account.
  3. On the Zoom card, choose Connect Zoom and allow it, as in steps 4 and 5 above.

Signing in to the panel inside Zoom

  1. In a Zoom meeting, open Apps in the meeting toolbar and choose Brieflee.
  2. The first time, the panel asks you to sign in. Use your email and password, or choose Continue with Microsoft, Google or Apple: the panel shows a short code and opens app.brieflee.ai/link in your web browser, where you sign in and approve the code. The panel then signs in by itself.

The connection is yours alone. It belongs to your Brieflee account, not to your workspace, and the notetaker joins as you. Each teammate who wants the notetaker in their Zoom meetings connects their own Zoom account.

Using the app

Sending the notetaker

  • In the Zoom app: during the meeting, open Apps, then Brieflee. The panel sends the notetaker by itself, unless one is already in the meeting.
  • On the website: choose Send Brieflee to a meeting and paste the Zoom meeting link.
  • From your calendar: connect Google or Microsoft in Settings, then Integrations. The notetaker then joins the Zoom meetings in your calendar 3 minutes before they start (1, 3 or 5 minutes, under Calendar auto-join). Choose there which meetings it joins, or switch one meeting on or off in Calendar.

During the meeting

  1. Brieflee Notetaker appears in the participants list. If the meeting has a waiting room, admit it.
  2. Zoom asks the host to allow it to record. If you are the host, choose Allow; if not, ask the host to. Nothing is captured until then.
  3. To be coached live, switch coaching on in the panel. The transcript then appears as people speak, with suggestions for what to ask and say. Coaching uses coaching hours; see Plans and credits.
  4. The notetaker stays while you are in the meeting and leaves when you leave or the meeting ends.

After the meeting

Open Meetings in Brieflee and choose the meeting. Its report has the summary, the decisions, the action items and the transcript. With coaching off, the transcript is written when the meeting ends, so the report takes a few minutes to appear. You can ask questions about the meeting, share the report, or send the action items to your CRM (see the CRM guides).

Permissions Brieflee asks for

Zoom lists these on its approval screen. Brieflee asks for these and no others:

PermissionWhat Brieflee uses it for
user:read:userRead your Zoom user ID, name, email address and account ID when you connect.
user:read:token user:read:zakAsk Zoom, when you send the notetaker to a meeting you are in, for the one-meeting token that lets it join on your behalf. Zoom adds user:read:zak with it.
zoomapp:inmeetingLet the Brieflee panel inside Zoom read which meeting it is open in.

What Brieflee keeps

Your Zoom user ID, account ID, name and email address, and the Zoom access tokens, encrypted on Brieflee’s servers. Meeting content is kept as the Privacy Policy describes, until you delete the meeting or your account. Your Zoom profile and tokens are never sent to an AI provider, and Brieflee does not sell Zoom data, use it for advertising or use it to train AI models.

Removing the app

In Zoom

  1. Sign in to the Zoom App Marketplace at marketplace.zoom.us.
  2. Choose Manage, then Added Apps.
  3. Find Brieflee and choose Remove.

Zoom tells Brieflee the app was removed, and Brieflee deletes the Zoom tokens and the Zoom account details it holds for you at once.

In Brieflee

  1. Open Settings, then Integrations.
  2. On the Zoom card, choose Disconnect.

Brieflee deletes the tokens it holds for your Zoom account at once. Disconnecting in Brieflee does not remove Brieflee from Zoom; remove it there as well. Deleting your Brieflee account deletes the tokens too.

What happens after

  • The notetaker can no longer join Zoom meetings on your behalf, and calendar auto-join skips your Zoom meetings.
  • Meetings already captured stay in your Brieflee account until you delete them, or delete your account.
  • You can add the app again at any time.

Troubleshooting

Brieflee says to connect or reconnect Zoom

The notetaker joins a Zoom meeting on behalf of a person who connected Zoom. Open Settings, then Integrations, and choose Connect Zoom (or Reconnect Zoom) on the Zoom card, then send the notetaker again.

The notetaker is in the meeting but nothing is captured

Zoom asks the meeting’s host to let the notetaker record, and nothing is captured until somebody chooses Allow. If you are the host, choose Allow on Zoom’s recording prompt; if not, ask the host to.

The notetaker is waiting to be let in

If the meeting has a waiting room, Zoom holds the notetaker there like any other guest. The host or a co-host admits Brieflee Notetaker from the participants list.

The notetaker did not join a meeting from my calendar

Zoom does not let it in before the host has started the meeting, so Brieflee tries again every minute until 10 minutes after the start time. Check that the invitation has a Zoom link, that the meeting is switched on in Calendar, and that Zoom is ticked under Calendar auto-join in Settings, then Integrations.

The notetaker left the meeting

Zoom lets the notetaker stay only while the person who sent it is in the meeting, so it leaves when you leave. It also leaves after about 10 minutes in which it hears no audio at all.

There is no Brieflee under Apps, or the panel is blank

The panel runs in the Zoom Workplace desktop app; Zoom’s web client has no Apps. If the panel asks you to sign in, sign in with the same Brieflee account you use on the website.

Continue with Microsoft, Google or Apple did not open my browser

Open app.brieflee.ai/link in your web browser yourself, sign in, and approve the code the panel shows. The code lasts 10 minutes; press the button again for a new one.
